• Child information: Name, date of birth, B-form / birth certificate number, photograph, health and medical information, vaccination records, dietary requirements and allergies, developmental notes, and daily activity records.
• Parent / guardian information: Full name, relationship to child, national ID / CNIC number, home address, phone numbers, WhatsApp number, email address, and emergency contact details.
• Financial information: Fee payment records and bank transfer confirmations (we do not store card details).
• Website information: IP address, browser type, pages visited, and time on site — collected through standard web analytics tools.
• CCTV footage: Video recordings from our facility cameras, retained for a rolling 30-day period for security purposes.

2. How We Use Your Information

We use the personal information we collect for the following purposes:

• To operate and deliver our childcare and educational programs safely and effectively
• To communicate with parents regarding their child's daily activities, progress, and wellbeing
• To manage enrollment, attendance, and fee administration
• To comply with health, safety, and safeguarding obligations
• To respond to enquiries submitted via WhatsApp, phone, or email
• To send operational updates such as holiday schedules, menu changes, and policy updates

3. Children's Privacy

The privacy of children in our care is treated with the highest level of care. Child records — including developmental notes, health information, and photographs — are stored securely, accessible only to authorised CloudNest staff, and never shared with third parties without explicit written parental consent.

Photographs and videos of children are used only with signed media consent from parents. Images shared on our Facebook or Instagram pages are subject to a separate media consent form completed at enrollment. Parents may withdraw media consent at any time in writing.

4. Information Sharing

We do not sell, rent, or trade personal information to any third party. Information may be shared only in the following limited circumstances:

• Emergency services: Medical or emergency information shared with emergency responders when required for child safety
• Legal obligation: When required by Pakistani law, court order, or regulatory authority
• Safeguarding duty: Where we have a duty to report child welfare concerns to relevant authorities
• Service providers: Trusted third-party tools (such as our parent communication app) used strictly in the operation of our services, subject to confidentiality agreements

5. Data Retention

We retain personal records for as long as your child is enrolled, and for a minimum of five (5) years after the end of enrollment for legal and safeguarding compliance purposes. CCTV footage is retained on a rolling 30-day cycle. Website analytics data is retained for up to 24 months.

6. Data Security

We take reasonable technical and organisational measures to protect personal information from unauthorised access, disclosure, alteration, or loss. Digital records are stored on password-protected systems. Physical documents are stored in locked files accessible only to authorised staff.

7. Your Rights

As a parent or guardian, you have the right to:

• Request correction of any inaccurate information
• Withdraw media consent at any time
• Request deletion of non-essential records (subject to legal retention obligations)
